How Lensmind Optics Handles Your Data

We collect the minimum needed to answer your inquiry, quote your project, and ship your order. We do not sell personal data, and we do not run advertising trackers. This policy explains exactly what we collect, why, and the rights you have over it.

Section 01

Who We Are

Lensmind Optics (“Lensmind”, “we”, “us”) is a precision optics manufacturer with its office in Zhongshan, Guangdong and its manufacturing plant in Hangzhou, Zhejiang, China. We design and manufacture machine vision lenses — FA C-mount, M12/S-mount, telecentric, line scan, liquid autofocus, endoscope, thermal imaging, and wide angle optics — and sell them directly to engineering teams, OEMs, and distributors worldwide.

For the purposes of the EU/UK General Data Protection Regulation (GDPR) and similar laws, Lensmind Optics is the data controller for the personal data described in this policy. You can reach us at any time using the contact details in Section 08.

Section 02

Data We Collect

We collect only what a business inquiry requires. The categories are:

Inquiry and quote forms

When you submit a form on our contact page — “Request a Quote”, “Send Your Spec”, or “Request a Sample” — we collect your name, work email, company name, country/region, and the technical content of your message. If you attach files (drawings, sensor specifications, target images), we receive those files and treat them as confidential project material under Section 05.

Email correspondence

If you write to us directly at sales@lensmindpro.com, we collect your email address, name, and the content and attachments of the conversation.

WhatsApp / WeChat conversations

If you contact us via the WhatsApp link or chat widget (+86 181 2524 5828), the conversation is processed by WhatsApp (Meta Platforms, Inc.) under its own privacy policy, and we retain the business content of the conversation — your number, name, and messages — in our sales records.

Technical and usage data

Like most websites, our hosting infrastructure automatically records standard server logs: IP address, browser type, device type, referring page, pages visited, and timestamps. We use these logs for security and performance monitoring only.

What we do not collect: we do not collect payment card data on this site (orders are settled by invoice), we do not run social media pixels, and we do not knowingly collect data from children. Our products and services are directed at businesses, not individual consumers.

Section 03

Cookies & Analytics

This site uses a small number of cookies in two categories:

We do not use advertising cookies, remarketing pixels, or cross-site trackers. You can block or delete cookies at any time through your browser settings; the site remains fully usable without analytics cookies.

Section 04

How We Use Your Data

We use the data above for the following purposes, and only these:

Under the GDPR, our legal bases are performance of pre-contractual and contractual steps (quotations, orders), legitimate interest (B2B sales follow-up and site security), and legal obligation (export and tax records). We do not send marketing newsletters without your explicit opt-in, and every such message includes a working unsubscribe.

Section 05

Data Sharing — We Do Not Sell Your Data

We do not sell, rent, or trade personal data to anyone, for any purpose. This applies equally to your contact details and to the technical files you send us. Drawings, samples, and specifications you share are handled as confidential engineering material and are covered by our standard NDA practice on request.

We share data only with the service providers needed to run the business, each limited to its specific role:

Because we are based in China and serve customers in North America and Europe, your data will be processed in China. By submitting an inquiry you acknowledge this transfer; we protect it with the measures described in Section 06 and honor the rights in Section 07 regardless of where the data is processed.

Section 06

Data Retention & Security

We keep inquiry correspondence and project files for as long as the business relationship is active, and for up to 5 years afterward, so that repeat orders, batch traceability, and warranty questions can be answered from the original specifications. Order, invoice, and export records are retained for the periods required by Chinese tax and customs law. Server logs are rotated and deleted on a regular cycle.

Access to inquiry data is restricted to the engineering and sales staff handling your project. Files marked confidential or covered by an NDA are stored separately from general correspondence. When retention periods end, data is deleted or anonymized.

Section 07

Your Rights (GDPR, CCPA & Others)

Depending on where you live, you have some or all of the following rights over your personal data. We honor them for every requester, wherever located:

To exercise any right, email sales@lensmindpro.com with the subject line “Privacy Request”. We verify your identity against the original inquiry channel and respond within 30 days.

Section 08
